Time clock
Everyone on your team can clock in and out in Spotter. Owners and admins see the hours on Team → Hours, fix mistakes, and download a file for payroll.
Clock in and out
Click Clock in
It’s in the sidebar, under Search. On a phone, tap the clock icon at the top of the screen. In the iPhone app, it’s on More (or the Time clock tab for instructors).
Click Clock out when you leave
While you’re on the clock, the sidebar shows how long you’ve been on, like On 2h 05m. On a phone, the clock icon turns green and asks you to confirm before clocking you out.
Forgot to clock out? Ask an owner or admin to fix the shift on Hours.
If your studio asks you to clock in at the studio, Spotter checks your location once when you click Clock in. Allow location when your browser asks. If you’re too far away, you’ll see how far, like You’re 2.3 km from the studio. Clock in when you get there. Clocking out never needs your location.
Make sure people clock in at the studio
Turn this on so instructors and the front desk can only clock in when they’re at the studio, not from home. Spotter checks their location once, when they clock in, and never tracks them after that.
Stand inside your studio and open Settings
Find Time clock. Each of your locations is listed.
Click Pin it here next to the location you’re in
Allow location when your browser asks. The location shows Pinned. Do the same at each of your locations.
Turn on Clock in only at the studio
Pick how close counts as at the studio: 100, 150 (the default), 250, or 500 meters. Use more for a big building or parking lot.
On Hours, each shift shows how far from the studio the person was when they clocked in, like 40 m away.
See your team’s hours
Open Team and click Hours
You see this week, Monday to Sunday, with each person’s total and every shift. People on the clock right now show On the clock and are listed first. Times are in your studio’s time zone.
Use the arrows to go to another week
This week brings you back.
A shift marked Edited was added or changed by an owner or admin, or the person set their own clock-out time later. A shift over 14 hours shows Long shift, which usually means someone forgot to clock out.
Fix, add, or remove a shift
- Fix: click the shift, change Clocked in, Clocked out, or the Note, and click Save. Adding a clock-out time to an open shift ends it.
- Add: click Add shift, pick Who, set the times, and click Save.
- Remove: click the shift, then Remove, and confirm.
Shifts can’t overlap another shift for the same person, run longer than 24 hours, or be in the future.
Download hours for payroll
Click CSV on Hours. The file has one row per shift for the week you’re looking at: name, email, role, date, clock in, clock out, hours (like 3.08), note, and whether it was edited. Shifts still open have no hours yet.
