Families

A family is one household: the parents or guardians, the kids who take classes, and any emergency contacts. Everything else in Spotter hangs off a family. Kids enroll in classes, bills go to the family, and parents sign in to the parent app with the email on file.

Open Families in the sidebar to see the list.

Active and inactive

You never set a family’s status by hand. A family is Active while at least one of its kids is enrolled in an active class (a regular class, a trial, or one that starts later). When the last kid leaves their last class, the family turns Inactive on its own. A brand new family starts out inactive until you enroll someone.

The Families list

  • Search by family name, parent or student name, email, or phone number. For phone numbers you can type the whole number, the last 7 digits, or the last 4.
  • All, Active, and Inactive tabs narrow the list by status.
  • Filter narrows it further: Owes money, Has a credit, Has notes, No notes, and any custom fields your studio added. Picks in the same group widen the list (Website or Friend). Picks in different groups narrow it (owes money and waiver is No).
  • Check families to Message them or Export them as a spreadsheet (CSV). With nothing checked, Export downloads every family shown.
  • The search, tab, and filters live in the page address, so you can bookmark a view or send it to a teammate.

Owners, admins, and front desk also see a Balance column and a strip at the top: the total Owed, how many families owe it, and how long it’s been owed (Days since it was charged, in 0 to 30, 31 to 60, 61 to 90, and 90+ day buckets). Click the Owed total to show just the families who owe. See Billing for how balances work.

Who can do what. Owners, admins, and front desk add and edit families. Instructors can look up families and add notes, but can’t change details and don’t see balances. Merging and deleting families is for owners and admins.
