Post monthly tuition
Once a month, you post tuition: Spotter charges each family for every class their kids are enrolled in. You see a preview before anything is charged, and posting again later only adds what’s missing.
Set each class’s tuition
Tuition is set per class, per student, per month. Private lessons have a price per session instead.
Open Billing
Scroll to Monthly tuition. Each class shows its price, or No tuition if none is set.
Click the pencil next to a class
Type the monthly amount (for a private lesson, the price per session) and click Save. Clear the box and save to remove the price.
Post the month
Open Billing and find Post tuition
Pick the month: this month or next month. Most studios post next month’s tuition near the end of the current one.
Read the preview
Spotter tells you what posting will do, for example “$8,450.00 to 62 families (91 enrollments)”. Two expandable notes may appear:
- Kids who start or end partway through the month. They pay only for the classes they’re in. See proration.
- Enrolled kids who aren’t billed this month, grouped by class with the reason: Trial class, No tuition set on this class, No price per session set, No sessions this month, No classes left this month, or Not in a family. Click a class name to fix it.
Click Post [Month] tuition
Spotter charges every family and confirms with “Posted 91 charges, $8,450.00.”
What families are charged
- One line per kid, per class, like “Mia · Hip Hop 6-9 · October tuition”. A prorated line adds ”· 3 of 4 classes”.
- Private lessons are billed per session: one line per kid with the dates and who else is in the lesson. Cancelled and closed days aren’t billed, and a makeup for a session already billed is free.
- Trials and makeups aren’t charged.
- Family rules apply: a flat monthly rate replaces per-class tuition, and a discount adds a credit line. See family rules.
Tuition goes on the monthly bill (Classes by default) for the family that pays for each kid.
Posting again is safe
Spotter remembers what it already posted. If you enroll a kid after posting, open Post tuition for the same month again: the preview shows only the new lines, along with how many are already posted. When everything is posted it reads “[Month] tuition is posted.”
If your studio takes payments online, families on autopay are charged right after you post. See Autopay and online payments.
To fix a single wrong line, void it on the family’s page. See Charges, credits, and items.
