Events and competitions

An event is anything outside regular classes that families pay for: a competition, a recital, a meet. Each event has its dates, a place, a payment due date, and fees every student pays (like registration). Inside it you list each routine (one thing entered at the event, like a group dance or a solo), its fee per student, an optional costume, and who is in it.

When you’re ready, one click bills every family. Each student gets their own lines, so a family’s bill reads “Rainbow · Group $95, Rainbow costume (YM) $85, Registration $50” instead of one lump sum. Add a student later and billing again adds only what’s new.

Spotter uses your studio’s own words. A dance studio sees “competition”, “routine”, “dancer”, and “costume”. A gym sees “meet”, “entry”, “gymnast”, and “leotard”. These pages say event, routine, student, and costume.

Who can use Events: owners, admins, and front desk staff can create, edit, and bill events. Only owners and admins can archive one. Instructors don’t see Events.

How it fits

  • Event charges go on the family’s team bill (Competition team by default), separate from the monthly bill (Classes by default). If your studio has a second team bill, you pick which one each event goes on. See Billing.
  • Parents see each event in the parent app: every line per child, what’s paid, what’s due, and the due date.
  • Families on autopay are charged for the team bill on their own schedule. See Billing.
