Studio settings
The Settings page holds how your studio is set up. Click Settings in the sidebar. Sections appear in this order.
Owners and admins can change everything here. Front desk and instructors can open Settings and see how things are set, but can’t make changes. The Spotter plan section only shows for owners and admins, and the Danger zone only for owners.
Studio type
What your studio teaches. Spotter uses your studio’s words on screens, bills, and the parent app, like “gymnast” and “coach” for a gym. Pick a type from the menu and it saves right away. See Studio type and words.
Payments
Connect your studio’s Stripe account so families can pay online. See Payments with Stripe.
Spotter plan
How your studio pays for Spotter. There’s one plan with everything in it. The price depends on how many students are in classes, so families who’ve left never count. The section shows the price for each range of students, with your range highlighted, and your current count.
Click the free trial button
It shows how many days the trial lasts, like Start 30-day free trial. It opens Stripe’s checkout page.
Add a card in Stripe
You aren’t charged until the trial ends, and you can cancel any time before. Stripe brings you back to Settings when you’re done.
A tag shows your plan’s status, like Free trial, Active, Payment failed, or Canceled, with the date your trial ends or your plan renews.
- Manage billing opens Stripe, where you can change your card, see invoices, or cancel.
- If a payment fails, the button reads Update payment method.
Spotter updates your student count every night. A change in count applies from your next invoice, so a busy week of trials won’t change this month’s bill.
Online sign-up
Two checkboxes: New families can register from your public class list and Families already here can add classes in the parent app. When public registration is on, your class list link shows here. See Online sign-up.
Custom fields
Extra things you keep on a family or student, like a contract date, a waiver, or a T-shirt size. You choose whether parents see each one or answer it when they sign up. See Families.
Closures
Holidays and breaks. No class meets on these days, and families see the studio is closed.
Enter a Name
For example, “Thanksgiving.”
Pick the dates
Set From. For a break longer than a day, set To (optional) too.
Click Add closure
Upcoming closures are listed above the form. To remove one, click its X and confirm with Remove. Classes will meet those days again. See Classes and schedule for cancelling a single class instead.
Rooms
Floors, studios, and pools. When a class has a room, Spotter stops two classes from booking it at the same time.
To add one, type a Room name and click Add room. To remove one, click its X and confirm with Remove. Classes in that room keep running with no room. You assign rooms to classes in Classes.
Family emails
Spotter emails parents automatically when:
- A waitlist spot opens: tells the family the spot is held for 48 hours.
- A class is cancelled or the studio closes: goes to families with a child in that class that day.
- A child is marked absent: sent 10 minutes after roll is taken, so a mis-tap fixed right away sends nothing. Not sent when the parent reported the absence.
- A makeup is booked: confirms the day and time.
Each is on to start. Uncheck any you don’t want. To have parents’ replies reach your front desk, enter an address in Replies go to and click Save. See Messages.
Danger zone
Owners only, at the bottom of the page. Use it to close a studio you’re no longer running.
Click Delete studio
A box opens that lists what happens.
Type the studio’s name
Type it exactly as it appears in the box. Capitals and extra spaces don’t matter.
Type delete my studio
Then click Delete studio to confirm.
Deleting closes the studio right away. Your team, families, and kids lose access, and the parent app and your public class list go offline. Autopay, late fees, and family emails stop. Nothing is erased yet. The studio name in the studio switcher shows Deleting with a date.
You have 14 days to restore it. Owners see a Restore button on the studio’s screen, and restoring brings everything back as it was. While the studio is deleted, your Spotter plan stops renewing, and it starts again when you restore.
After 14 days, the studio and all of its data are permanently erased, and the Spotter plan ends. Money already in your studio’s Stripe account stays there.
