Absences and makeups

When a student misses a group class, they can make it up by joining another class with an open seat, or the studio can give the family a credit instead. Each missed class gets one or the other, never both.

Owners, admins, and front desk book makeups and give credits. Parents can report absences and book makeups themselves in the parent app.

What counts as missed

For a group class, a class day is missed when the student was marked Absent (or the parent reported it), when the class was cancelled that day, or when the studio was closed.

For a private lesson, only sessions the studio cancels or closes count. See Private lessons.

Absences parents report

Parents can report an absence in the parent app for today or any class day up to 60 days ahead, with an optional note. It shows on the roll right away as Reported by parent, already marked absent. A parent can take it back any time up to the day of class.

See a family’s missed classes

Open the family and find Missed classes. It lists missed classes from the last 60 days, plus upcoming cancellations, each with a status:

  • Makeup owed: nothing booked yet.
  • Makeup scheduled: a makeup is booked. It shows the day, time, and class.
  • Made up: the student was marked Here at the makeup.
  • Reschedule needed: the makeup class was cancelled, or the student was absent from it.
  • Credited: settled with a credit. It shows the amount and reason.

It shows the five most recent. Click Show all to see the rest.

Book a makeup

Start from the roll or the family page

On the roll, click Book a makeup under the absent student. Or on the family page, click Book makeup next to the missed class.

Pick a class

Spotter lists class days in the next 30 days that have an open seat, with classes in the same program first.

Click Book

The student shows on that day’s roll tagged makeup. If A makeup is booked is on in Settings → Family emails, the family gets an email with the day and time.

A makeup has to follow these rules:

  • An absence has to be marked or reported first (cancelled and closed days count on their own).
  • It has to be within 60 days of the missed class.
  • It goes into a group class with an open seat that day, not a private lesson.
  • Each missed class gets one makeup.
  • Makeups aren’t charged.

Cancel a makeup

On the family page, click Cancel makeup, or click Cancel makeup under the student on that day’s roll before they’re marked. The missed class goes back to owed, so you can book another or give a credit.

Give a credit

Click Give a credit

On the family page, next to the missed class.

Check the amount

Spotter suggests what the class was worth: that month’s tuition for the class divided by the number of class days that month. For a private lesson, it’s the session price. Change it if you need to. If no tuition was posted for that month, enter the amount yourself.

Pick a reason

Instructor cancellation, Studio closure, Absence, or Other.

Click Give credit

The credit goes on the family’s bill with the student, class, date, and reason, and that class can’t also be made up. If a makeup is already booked, cancel it first. See Billing for how credits are applied.
