Statements and receipts
A statement is a family’s bill for one month. A receipt shows what one payment paid for. Both are built from the family’s account, so they always match the balance, and parents see the same documents in the parent app.
What’s on a statement
- Amount due at the top (or Credit on account, or All paid up). If the family is on autopay, a note says when it will charge.
- A summary: Previous balance, the month’s charges, Discounts & credits, and Payments.
- Each kid’s charges, under their first name. Tuition shows the class, its day and time, the month, and the classes billed if it was a partial month. Each line is marked Paid, Due, or how much is left.
- Family charges that aren’t for one kid.
- Discounts & credits.
- Payments received, with the method and any refund or dispute.
- Balance at the end of the month, at the bottom.
Open, print, or email a statement
Open the family and click Statement
It’s in the family’s Billing section. The statement opens on the newest month with activity.
Pick the month and bill
Use the month menu to switch months. If the family has a team bill, tabs at the top switch between bills, for example Classes and Competition team. Each bill has its own statement.
Print or email it
- Print or save PDF opens your browser’s print window. Choose “Save as PDF” to keep a file.
- Email to family sends the statement to the family’s guardians, with a button that opens it in the parent app. It says View and pay if they owe and aren’t on autopay.
Email to family needs at least one guardian with an email address. If no one has one, Spotter tells you.
Receipts
Every payment has a receipt, whether it was recorded at the desk or paid online. A receipt shows:
- Who paid, when, and how (with the note, like a check number).
- What it paid for: each charge it covered, by kid, and how much of each.
- Statements it paid, like “October Classes $213.00”, so a parent can match it to a bill.
- Credit for future charges, if it paid more than was owed.
- The balance after the payment.
Online payments are emailed a receipt automatically. For desk payments you choose when you record the payment.
