Add a family

Add a family when someone new walks in, calls, or signs up for a trial. You enter one parent or guardian and their kids together, and Spotter opens the new family page when you’re done.

Owners, admins, and front desk can add families. Instructors can’t.

Open the form

Go to Families and click New family.

Add the parent or guardian

Under Parent or guardian, fill in First name and Last name (both required). Add their Email: it’s what they use to sign in to the parent app. Add a Mobile number and pick a Relationship (Mother, Father, Parent, Guardian, Caregiver, or Other).

This person becomes the family’s primary contact and the one who gets bills.

Add the kids

Under Kids, type each kid’s First name and Birthday. Click Add another kid for more. Kids get the family’s last name. You can leave this empty and add kids later.

Check for duplicates

As you type, Spotter looks for a family that’s already here with the same email, phone number, or family name. If it finds one, an Already here? box lists it. Open that family to add the kid there instead, or keep going to create a new family anyway.

Add a family name and address (optional)

Open Family name and address (optional). The Family name defaults to the guardian’s last name. Change it for blended families or different last names. Add a street address, city, state, and ZIP if you want them on file.

Click Create family

Spotter opens the new family page. The family shows as Inactive until you enroll one of the kids in a class.

One email means one person. If the email you enter already belongs to a grown-up in your studio, Spotter links that same person to the new family instead of creating a copy.
