Switch from Jackrabbit
Spotter brings your studio over from a few Jackrabbit exports. You download the files from Jackrabbit, drop them into Spotter, check the preview, and import. Nothing changes in Jackrabbit.
Import in two rounds: first families, parents, and students, then classes and who’s enrolled in each.
Only owners and admins can import. Open the importer from Families → Import, Classes → Import, or the Import links on the Today setup checklist. The page is called Import from Jackrabbit.
1. Families, parents, and students
Export from Jackrabbit
The importer shows a card for each file with the exact steps and an Open in Jackrabbit link:
- Contact Listing (required): families and their parents. In Jackrabbit, go to Reports → Find Reports → Families / Students → Contact Listing. Set Family Status to blank so inactive families come too, click Submit, then Export as Excel Spreadsheet (XLS).
- Student Detail report: students, birth dates, and which family they belong to. Go to Reports → Find Reports → Families / Students → Student Detail Report, leave Active blank, click Submit, then choose More (⋯) → Export to Excel.
- All Families (optional): what each family owes today, so their balance carries over. Go to Families → All Families, turn on the Jackrabbit Family ID column with Adjust columns, then choose More (⋯) → Export to Excel.
Drop the files into Spotter
Drag the files onto Drop the family files here, or choose them, or click it to pick them. Each card shows Added once its file is in. If a file isn’t one of these exports, Spotter tells you which one.
Check the preview
Under Ready to import you’ll see how many Families (new and updated), Parents & contacts, and Students will come in. If you added All Families, Spotter shows how many balances carry over.
Spotter also lists anything it wants you to know about, like students it couldn’t match to a family (they’re skipped), contacts with no email, phone numbers that look incomplete, and students without a birth date. Click a line to see who.
Click Import with the family count
The button reads, for example, Import 212 families. A progress bar shows how far along it is. When it’s done, click View families to see them.
Balances from Jackrabbit
Each family’s Jackrabbit balance becomes one line on their bill: Balance carried over from Jackrabbit. A credit comes in as a credit. Balances Spotter couldn’t match to one family are listed in the preview so you can add them by hand. See Billing.
2. Classes and enrollments
Do this after families are in, so enrollments have students to attach to.
Export from Jackrabbit
- All Classes: classes with days, times, instructors, and sizes. Go to Classes → All Classes, make sure the filters show every status, then choose More (⋯) → Export to Excel.
- Enrollment Detail: who’s enrolled in which class. Go to Reports → Find Reports → Classes / Enrollment → Enrollment Detail, keep the defaults, click Submit, then Export as Excel Spreadsheet (XLS).
Tip: before exporting Enrollment Detail, click Show/Hide Columns and turn on Class Name and the day columns (Mon through Sun). Then every enrollment matches its class exactly.
Drop both files into Spotter
Use Drop both class files here, or choose them.
Answer Which class is this? if asked
Some classes look identical in Jackrabbit’s export except for the day. Spotter shows the students in each and asks you to pick the right class. Classes you don’t pick import without their students. You can import again later to add them.
Click Import
The button shows how many classes and enrollments will come in. When it’s done, click View classes or See today.
Import again to pick up changes
You can run either import as many times as you like. Families match on their Jackrabbit family ID, so running it a second time updates them instead of making duplicates. Classes update the same way. Re-importing never deletes anything, and a carried-over balance is only added once.
Undo an import
The last few imports are listed under Recent imports at the bottom of the page.
Click Undo next to the import
Confirm with Undo import
- Family import: removes the families it created, along with their students and anything added to those families since (charges, payments, notes, enrollments, and attendance). Families it only updated stay, with the imported changes.
- Class import: removes the classes and enrollments it created.
Undo is meant for right after an import. If you’ve already started billing or taking attendance for imported families, undoing removes that too.
