Enroll students, trials, and the waitlist
Everything about who’s in a class happens on the class page, under Roster and Waitlist. You can also enroll a kid from their family page.
Owners, admins, and front desk can enroll, drop, move, book trials, and manage the waitlist. Only owners and admins can go past a class’s capacity or change it. Instructors can see rosters and waitlists but can’t change them.
Enroll a student
Open the class
Go to Schedule → Classes and click the class.
Click Enroll student
Search by the student’s name, a parent’s name, or the family name. Type at least two letters.
Click Enroll
The student joins the roster. If they were on this class’s waitlist, they come off it. Their family turns Active.
From a family page, click Enroll in a class under the kid, find the class, and click Enroll. Each class shows how many seats are open.
The student has to be in a family first. For someone new, add the family, then enroll.
When the class is full
The class page shows Full next to Roster. Click Waitlist to put the student on the waitlist. Owners and admins also see Enroll anyway to go past capacity.
Move a student to another class
On the roster, click the arrows next to the student (Move to another class). Pick the new class and click Move here. Spotter drops them from the old class and enrolls them in the new one in one step. Their past classes say “Moved to” the new class, and their old seat goes to the old class’s waitlist.
If the new class is full, owners and admins can click Move anyway.
Drop a student
Click the X next to the student
On the class roster, click Drop from class.
Pick a reason (optional)
Tap one: Finished the session, Moved up a level, Schedule conflict, Cost, Moving away, or Lost interest. It’s saved in the kid’s past classes.
Drop now, or keep them through a last class
Click Drop now to take them off the roster right away.
Or, under Or keep them through a last class, pick a date and click Set last class. They stay on the roster with a Last class tag and come off after that day. To undo it, open the dialog again and click Keep them enrolled.
Either way, the freed seat goes to the next family on the waitlist.
Book a trial
A trial is one class day for a student who’s trying the class out. Trials aren’t charged.
Click Book a trial
On the class page. Private lessons don’t have trials.
Pick the day
Spotter lists the next class days.
Find the student and click Book trial
New family? Add them under Families first, then book the trial.
The trial needs an open seat that day. If the class is full that day, owners and admins see Book anyway. The student shows on the roster and the roll with a Trial tag for that day only. After the day passes, the trial moves to their past classes.
The waitlist
The Waitlist on the class page lists students in order, first come, first served.
When a seat opens, Spotter offers it to the first family waiting and holds it for 48 hours. A seat opens when someone is dropped or moved out, when a scheduled last class passes, when capacity goes up, or when an earlier offer is declined or runs out.
- The waitlist shows Seat offered and how long the hold has left.
- The family gets an email if A waitlist spot opens is turned on in Settings → Family emails, and they can accept or decline in the parent app. Accepting enrolls the kid right away.
- At the desk, click Accept seat to enroll them for the family, or Decline to pass the seat to the next family.
- If nobody answers in 48 hours, the seat passes to the next family on its own.
- Click Remove to take someone off the waitlist.
The roster header says Full · 1 seat held for the waitlist while an offer is open, so nobody else takes it.
Change capacity
Owners and admins click the pencil next to Roster, enter the new number, and click Save. Leave it blank for no limit. Any new seats are offered to the waitlist right away.
