Bill an event and the season view
Billing an event adds one charge per student for each routine, costume, and event fee, on the family that pays for that student. You can bill as often as you like. Each time, Spotter adds only the lines that aren’t on a bill yet.
Owners, admins, and front desk staff can bill events.
Bill families
Open the event
Click Events, then the event’s name.
Check what’s left to bill
The summary shows how many students, the total, and how much is already on families’ bills. Below it you’ll see how many lines aren’t billed yet, or “Everything is billed.”
The By student section lists each student, their family, and each line with its amount. Lines not on a bill yet are marked Not billed.
Click Bill families
The button shows the amount it will add. When it’s done you’ll see “Billed $X to N families.”
Each charge reads like “Mia · Starbound Regionals · Rainbow (Group)” on the family’s bill. If the event has a Payment due date in the future, the charges are due that day.
A student who isn’t in a family can’t be billed. Spotter names them after billing (“Not billed (not in a family)”) so you can add them to a family and bill again. See Families.
Autopay
If your studio takes card payments, families on autopay are charged for the event’s team bill automatically: right away, or on the morning of the Payment due date if that’s later. See Billing.
Second team bill
If your studio has a second team bill, each event goes on the bill picked in Bill to when you created it. In the parent app, each team bill shows only its own events. See Billing to turn on a second team bill.
Export one event
Click Export CSV on the event page for a spreadsheet of every line: student, family, item, type, size, amount, and whether it’s billed.
The season view
The Events page groups events by season, with the number of events and their total. Upcoming events come first. Each event shows Billed when everything is on a bill, or how many lines are not billed.
Next to each season:
- Totals by student shows what each student’s events cost this season, across every event, with their family.
- Season CSV downloads every line for the season in one spreadsheet.
Season totals include lines that aren’t billed yet. Archived events are left out.
