The schedule, closures, and changes
The schedule is built from each class’s weekly days and times. On top of that you can close the studio for a holiday, cancel a single class day, or change one day’s time, instructor, or room. Everyone sees the same schedule, including families in the parent app.
Read the schedule
Go to Schedule. Pick a view at the top:
- Week (the default) shows seven days starting today. Each class shows its time, how many are coming (like “8/10”), the instructor, and the room. Click a day’s name to open that day.
- Day lists one day’s classes with tags for Cancelled, Studio closed, Changed, Makeup session, and Private.
- Month shows each day’s number of classes, cancellations, makeup sessions, closures, and events like competitions and recitals. Click a day to open it.
- Classes is the list of every class. See Create a class.
Use the arrows to move back and forward and Today to jump back. If your studio has rooms, pick one from All rooms to see only that room.
Open one class day
Click any class on the schedule to open that day. You’ll see the time, instructor, room, and how many are coming, with a link to Roster and class details. From here:
- Attendance opens the roll. See Take attendance.
- Change this day changes just this one meeting.
- Cancel class cancels just this one meeting.
You can also open a class day from the Upcoming dates on the class page.
Owners, admins, and front desk can cancel and change single class days. Instructors can view them.
Cancel one class day
Open the class day and click Cancel class
Add a reason (optional)
Type it in Reason (shown to families), like “Coach out sick”.
Click Cancel this class
The class shows as cancelled on Today, the schedule, the roll, and the parent app. If A class is cancelled or the studio closes is on in Settings → Family emails, Spotter emails the families of everyone on that day’s roster.
A cancelled day counts as a missed class for each student, so they can book a makeup or get a credit. See Absences and makeups.
Changed your mind? Open the day and click Un-cancel.
Change one class day
Open the class day and click Change this day
Only this day changes. The weekly schedule stays the same.
Make the change
Change Starts or Ends, type a substitute in the instructor field, or pick a different Room. Add a Note (shown to families) if you like, such as “Sub today: Coach Sam”.
Click Save change
The day is tagged Changed on the schedule and the roll shows the new details. To undo it, open the day and click Back to the usual schedule.
Close the studio for a holiday
A closure is a day or range of days when no class meets, like Thanksgiving or winter break.
Only owners and admins can add or remove closures.
Go to Settings → Closures
Fill in the closure
Give it a Name, like “Thanksgiving”. Pick the From date. For more than one day, add a To (optional) date.
Click Add closure
Every class on those days shows Closed with the closure’s name, on the schedule, the roll, and the parent app. If A class is cancelled or the studio closes is on in Settings → Family emails, families with a kid in a class during the closure get an email.
Like a cancellation, a closed day counts as missed for each student, so they can get a makeup or a credit. When Spotter prorates tuition for a partial month, cancelled and closed days aren’t counted. See Billing.
To remove a closure, click the X next to it. Classes meet those days again.
